Personal Information Policy

Article 1 (Purpose of Processing Personal Information)

The Korea International Culture Association (hereinafter referred to as "KICA") processes personal information for the following purposes: Personal information which has been processed will not be used for any purpose except the following purposes, and if the purpose of use is changed, necessary measures will be implemented, such as obtaining separate consent under Article 18 of the Personal Information Protection Act

① Enrollment and management of sponsored members

Personal information is processed for the purpose of confirming the intention of membership, maintaining membership, and notifying various notices and notifications

② Handling civil service affairs

Personal information is processed for the purpose of identification of civil petitioners, confirmation of civil petitions, contact and notification for fact-finding, and notification of processing results.

③ Other matters

Personal information is processed for the purpose of issuing donation receipts.

Article 2 (Processing and retention period of personal information)

Within the period of personal information retention and utilization in accordance with statutes or within the period of personal information retention and utilization agreed upon at the time of collecting personal information from the parties to the information, the KICA processes and retains personal information.

The processing and retention period of each personal information is as follows.

① Sponsored members and donors: Semi-permanent

② Processing of civil service affairs: 3 years after completion of processing

Article 3 (Providing Personal Information to Third Parties)

TheKICA shall process the personal information of the parties to the information only within the scope specified in Article 1 (for the purposes of processing personal information).In addition, and the KICA provides personal information to third parties only when it falls under Article 17 of the Personal Information Protection Act, including the consent of the parties to the information and the special provisions of the law

Article 4 (Consignment of Personal Information Processing)

When the KICA entrusts the processing of personal information, it shall comply with Article 26 of the Personal Information Protection Act. and it shall be processed by the document containing the following, the KICA shall disclose the details of the entrusted work with the trustee.

① Matters concerning the prohibition of personal information processing other than the purpose of performing entrusted duties

② Matters concerning the management and technical protection of personal information

③ Matters concerning personal information safety management

Article 5 (The rights and obligations of the party to the information and he or she legal representatives and the way in which they are exercised)

① The party to Information may exercise their right to request the KICA to view, correct, delete, suspend processing, etc. at any time.

② The exercise of rights under paragraph (1) may be made in writing, by telephone, by e-mail, by facsimile (FAX), etc. to the KICA, according to Article 41 (1) of the Enforcement Decree of the Personal Information Protection Act. And the KICA shall take action on this without delay.

③ The exercise of rights under paragraph (1) may be performed through the legal representative of the party to information or through the entrusted person.In such cases, a power of attorney shall be submitted in accordance with attached Form 11 of the Enforcement Rules of the Personal Information Protection Act.

④ Requests for personal information access and suspension of processing may restrict the rights of the party to information, according to article 35(5) and article 37(2) of the Personal Information Protection Act.

⑤ It is not possible to request correction or deletion of personal information. In case the personal information is designated as the object of collection by other statutes.

⑥ The KICA confirms that the personwho requests perusal, correction or deletion, suspension of processing, etc. is himself/herself or his/her duly accredited representative according to the rights of the information subject.

Article 6 (Personal information items to be processed)

The KICA handles the following personal information items.

① Sponsored Member Management

- Name (company name), address, resident registration number (business license number), contact information, affiliation, etc.

② Personal information items below can be automatically generated and collected during the Internet service use process. (In case there is a personal information item that is automatically generated or collected)

- IP addresses, cookies, MAC addresses, service use records, visit records, defective use records, etc.

Article 7 (Dismissal of Personal Information)

① When personal information becomes unnecessary, such as the expiration of the period of personal information retention or achievement of processing purposes, the KICA destroys such personal information without delay.

② Although the personal information agreed by the party to information has expired or the processing purpose has been achieved, in case personal information is required to be preserved in accordance with other statutes, the personal information (or personal information files) is moved to a separate database (DB) or stored differently.

③ Procedure and method of dismissal of personal information are as follows

A) Destruction procedure

The KICA shall establish and implement a plan to destroy personal information (or personal information files) that must be destroyed. The KICA shall select personal information about why the reason for dismissal occurs, and destroy personal information (or personal information files) after obtaining approval from the person in charge of personal information protection at the KICA.

B) Destruction method

The KICA shall destroy personal information recorded and stored in electronic file form so that records cannot be played again and also personal information recorded and stored in a paper document is incinerated or shredded or with a shredder.

Article 8 (Measures to Secure Personal Information)

To ensure the safety of personal information, the KICA is taking the following measures.

① Administrative measures: establishment and implementation of internal management plans, regular training of employees, etc.

② Technical measures: Management of access authority such as personal information processing system, installation of access control system, encryption of unique identification information, and installation of security programs

③ Physical measures: Store in a safe place with a lock for document security

Article 9 (Items concerning the Installation, Operation and Rejection of Automatic Personal Information Collection Devices)

① To provide personalized services to users, the KICA uses 'cookie' which stores information and is frequently recalled.

② Cookie is used to run websites, and it is a small amount of information that a server (http) sends to a user's computer browser. And it is also stored on the hard disk inside the user's PC computer.

A) Purpose of Cookie: It is used to provide optimized information to users by identifying the types of visits &usage, popular search terms, and security access for each service and website visited by the users.

B) Install, operate, and reject cookies: Tools > Internet Options > Options on the Privacy information menu > You can refuse to save cookies through setting options on the Privacy information menu.

C) Refusing to save cookies may cause difficulties in using customized services

Article 10 (Personal Information Protection Officer)

The KICA shall exercise overall control and responsibility for the handling of personal information. The KICA shall designate a person in charge of personal information protection as follows for handling complaints and damage relief of the party to information related to personal information processing.

The party to information may contact the Personal Information Protection Officer and the department in charge of all information that has occurred while using KICA's service (or business) such as inquiries, complaints, damage relief, etc. related to personal information protection. The KICA will answer and process all inquiries from the party to information without delay.

Article 11 (Relief Method for Infringement of Rights and Interests)

The party to information can inquire about damage relief, counseling, etc. for personal information infringement to the institution below. ※ The institutions below are separate from the KICA. If he or she is not satisfied with KICA's his/her own personal information complaint handling and damage relief results, or if he or she needs more help, please contact the KICA directly.

This Personal Information Policy will be applied from November 1st, 2020.
